Exhibitor Manual
To help you prepare your exhibit for the show, Reed
Exhibitions will provide an Exhibitor Manual. For your
convenience, the Exhibitor Manuals are available on-line to make it easy for you
to order services and items that you require for your booth. When the Exhibitor
Manual is available on-line, we will send you an e-mail which will include a
direct link to the Exhibitor Manual or you can click on the show website link
and go to the "For Exhibitors" tab. Please note if your e-mail address is not Reedīs primary
contact, you should determine who is and have the Exhibitor Manual link
forwarded to the proper person. The online Exhibitor Manual format is designed
to make your planning and participation in a trade show as easy as possible.
Developed by Reed Exhibitions in response to exhibitor requests, the online
Exhibitor Manual allows you to access all the information you need, whenever you
want. It is fast, easy and convenient.
To help you easily navigate through the online Exhibitor Manual, it is
divided into the following sections:
Section 1: General Information
- The exhibitor action checklist contains things to do and order as well as
deadline discount dates
- The show schedule includes the move-in, show and move-out hours
- Show information/A-Z Guide includes information pertaining to age
restrictions, display rules and regulations, fire and safety regulations, and
also general policies applicable to the show
- The show management contacts lists the Reed staff person who you can call
should you have any questions
Section 2: Official Contractors
- Official contractor listing and order forms and rates for the various
contractors such as audio visual, computer rental, floral, photography,
security and temp personnel
Section 3: Exhibitor Designated Contractors (EDCs)
- Explains what an exhibitor-designated contractor is and the procedures for
using an EDC
Section 4: Shipping
- Shipping information for shipping to the warehouse or directly to the show
site
- Freight Target floor plans
- Customs broker and transportation information
Section 5: Exhibitor Badges and Lead Retrieval
- Exhibitor badge order form
- Lead retrieval options
Section 6: Hotel and Travel Discounts
- Exhibitor Housing Request form lists hotel discounts and a map of the
locations of the hotels from the convention center
Section 7: Facility/Utilities
- Order forms for the utilities that the convention center offers. These
include services such as electric, cleaning, plumbing, telecommunications and
catering
Section 8: General Contractor
- General contractor information, order forms and rates including
furnishings, carpet, rental exhibits options, signs and graphics, labor
jurisdictions and material handling
Section 9: Marketing Opportunities
- Sponsorship information, advertising, public relations and marketing
information, including VIP tickets for your customers and prospects, and to
make your booth stand out from the crowd
The Exhibitor Manual plays a critical role in the planning of your booth and,
if used properly, could save you both time and money and will allow you to
experience a smoother show.
