The show schedule consists of three time periods: move-in, show and move-out hours. It is important to understand the show schedule so you can effectively schedule your time and ensure all components run smoothly.
The reason it is important to be acquainted with the installation hours is because most shows have a freight target move in schedule. The only exhibitors who are exempt from the target date rules are those who choose to ship their freight to the General Contractor´s warehouse. In that case, the General Contractor assumes responsibility for compliance with the target date schedule.
During show hours, absolutely no shipment, equipment or material may be brought onto the show floor. Therefore, you are required to have your booth completely set before the show opens. Most shows allow exhibitors with badges access to the exhibit hall early each morning on show days. This allows you time to tweak anything in your booth before the show opens. Be sure to review the show hours so you know when you can enter the hall and when the show closes each day.
The schedule of dismantling exhibits is also significant since you may need to order labor for the dismantling of your exhibit - or additional staff members may be coming to help dismantle your booth. Please make special note that in accordance with the display rules and regulations, no exhibits or display may be dismantled prior to the official close of the show or penalties may be incurred.
At the close of the show, the exclusive general service contractor labor and all independent contractor labor will be allowed on the show floor. The general service contractor will roll up the aisle carpet for the return of the empty crates and cartons. You can assist in this process by keeping all materials out of the aisle. Be patient, as this will take some time to complete. All cardboard boxes and fiber cases will be returned first followed by large crates. Please be sure to make your travel arrangements accordingly to allow yourself enough time to finish packing your materials for shipment.
Be sure to pack and secure all product first. Then make sure that every piece gets a shipping label. Unlabelled pieces get moved around when carpet rentals are removed, and your unlabelled box could be mistaken for trash.
The move-out schedule will indicate the date and time that all materials are required to be removed from the exhibit hall. Any materials not removed by that time will be re-routed by the general services contractor´s choice or returned to their warehouse to await shipping instructions and this cost will be at the exhibitor´s expense.
