What to Do When You Arrive at the Show

When you arrive at the show for set up, it is important that you complete a few steps in order to get started.

#1 Pick up your badge

Check in at exhibitor registration to pick up your badge and to make sure that all of your booth staff are registered in the registration system. It is important to have your badge on you at all times because you will need it to access the show floor at all times.

#2 Familiarize yourself with the show floor

Once you have picked up your badge and have found your booth, take notice of important places on the show floor so that you know where to go if you need any services. Some of the places that you might want to take notice of are: show management office, vendor service desks, security office, and the First Aid station.

#3 Take inventory of your freight

Once your targeted move-in time has passed, take an inventory of all of your freight including checking anything that could have been broken while in transit. The earlier you are able to notify the exclusive general service contractor and show management that any of your freight may be missing, the more time there is to find it and get it to you. If you are missing any freight it is important to have the following information on you when you go to the service desk to inquire on it: how many pieces are missing? What type of freight is it? Who was it shipped through? What is the tracking number? When was it shipped? When was it targeted to arrive? All of these pieces of information, along with a phone number for your shipping company, will make it much easier to track down your freight.

#4 Read your move-in bulletin

Take a minute to read your move-in bulletin. This is a helpful document that will let you know of any changes to the show floor, show times or any special events that exhibitors may want to attend. It will also give you information regarding access to the show floor, where important offices, and identify members of the show managements.

#5 Meet your floor manager

There will be a specific Reed floor manager assigned to your section of the show. This is a member of show management who should be your first contact with any booth issues, vendor issues, or questions. This person is an invaluable resource to you as an exhibitor and is familiar with all rules and regulations and service providers.

#6 Be safe!

Reed Exhibitions prides itself on having the best security possible at every show in every city. However, these are events in public buildings where thousands of people will be passing through every day. DO NOT leave purses, wallets, coats, laptops, PDAs, MP3 players, DVD players, or any other valuable items unattended. Show management is not responsible for any lost or stolen item. The General Contractor will have security cages for rent in a variety of sizes. Think of it like a department store; you wouldn't leave your wallet in a dressing room, or on a counter while you shop around.
